This policy explains what personal data Exempli Labs Ltd collects when you contact us, why, and what you can ask us to do with it. The short version: we only collect what you send us, we use it to reply, and we don't track you.

Who we are

Exempli Labs Ltd ("exempli", "we", "us") is the controller of your personal data. We are registered in England and Wales, company number 17213303, with our registered office at 4a Osberg Road, Buckingham, MK18 1XQ. We pay the data protection fee to the Information Commissioner's Office.

What we collect

When you send an enquiry through our contact form, we collect:

• your name, company, email address and phone number
• your role and timeline, if you choose to give them
• whatever you write in your message

The form sends these details to our website, which passes them to us by email. If the form can't send, it opens your own email app with the details filled in instead. If you email us directly, we collect what you include in that email.

We don't use analytics, advertising or tracking cookies, and we don't load anything from other companies when you visit: our fonts and every other asset are served from our own site.

How we use it, and why we're allowed to

We use your details to reply to your enquiry and, if you want to, to talk through working together. We don't add you to marketing lists, and we never sell your data.

Our lawful basis is our legitimate interest in responding to people who contact us about our services. Where you're asking about working with us, we're also taking steps you've requested before entering a contract.

Who we share it with

We don't share your data with anyone except the service providers we need to run the business, who only handle it on our instructions:

• Microsoft, which provides our email, so your enquiry is stored in our mailbox
• Microsoft, through Azure, which hosts our website and delivers form enquiries to our mailbox, and keeps short-lived server logs, such as IP addresses and the pages requested, to run and secure the site

Some of these providers may process data outside the UK. Where that happens, it's protected by safeguards UK law recognises, such as adequacy regulations or approved contract terms. We would only disclose your data otherwise if the law required us to.

How long we keep it

If your enquiry doesn't turn into work, we delete it 24 months after we were last in touch. If you become a client, we keep what we need for the work and for our legal obligations, such as keeping financial records for six years.

Your rights

You can ask us to:

• give you a copy of the personal data we hold about you
• correct anything that's wrong
• delete your data
• limit how we use it, or stop using it
• send it to you, or someone else, in a portable format

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put it right first.

Cookies and browser storage

We don't set any cookies. Our homepage stores one item in your browser's session storage so its intro animation doesn't replay each time you return to it. It contains no personal data, is never sent to us, and is deleted when you close the tab.

If we change how we handle your data, we'll update this page and the date at the top.
